Executive Admin Assistant


Position Summary: 
 
Provides administrative support to Product Development Executive Management.
 
Primary Responsibilities:
  • Accountable for scheduling, payroll, marketing (organization/meetings/ collecting data), report processing, development of spreadsheets and PowerPoint presentations.
  • Responsible for all scheduling, maintenance, of executive calendars on lotus notes including anticipating and collecting preparation. This includes the coordination of all meetings including dates, agendas, food, meeting rooms and invitations. Also included is the ability to filter and redirect calls where appropriate.
  • Communicate to the Product Development organization, as well as other divisions, both in-person and electronically.
  • Ensure timely response to incoming mail and e-mails, including drafting written responses to all levels of management, our Agent, key resources and Customers.
  • Maintain all correspondence and mail. Create memos, reports, and special projects as needed.
  • Schedule, complete and process expense settlements.
  • Responsible for projects such as budgets and compiling information from data warehouse and PBS.
  • Order and maintain supplies and equipment for Product Development.
  • Prepare reports and PowerPoint presentations.
  • Manage the development of travel schedules, communicating with all necessary parties.
  • Set up and maintain lotus notes lists for all internal teams.
  • Set up and maintain files.
  • Work to streamline processes to get the best result with the minimal investment in time and communicate to the Team.
